Handling Substitutes for Eucharistic Adoration
Auto Sub Methods
With the advent of AdorationPro, you can now leave substitute finding up to a few clicks. When an adorer can't make a time slot, he/she can fill out a simple sub request form. Once the form is filled out online, an email is sent to all subs that have expressed availability during that time slot. A sub can click a link in the email to confirm that he/she can take the requested hour. Once one sub takes the request, an email is sent to the sub and the original adorer confirming the request has been fulfilled. The sub will receive a reminder email 24 hours before the time slot. And, any other subs who click on the original email sub request will see a nice note indicating the requested hour has been fulfilled. With just one simple form, the entire sub process is handled automatically. No phone calls or multiple individual emails are required.
How Does the Admin Know What is Going On?
The Auto Sub Method provides a log of all sub requests as well as their requested or fulfilled status. There is also an option in settings to have sub fulfillments emailed to the admin as well.
Manual Sub Methods
Fortunately, AdorationPro also includes a manual sub method. In the manual sub method, after entering a password, an adorer can view the phone and email addresses of all the subs. As an option controllable by the admin, the adorer can also view the contact information of other adorers on the schedule. With this information, the adorer can then call, text, or email individuals in order to find a sub.
Keeping Full Hours
Another approach to handling subs is to keep each hour "full" of adorers. Instead of having only 1-2 adorers per slot, considering having 4 or more adorers. By having 4 adorers per time slot, you have a built in sub system. With each additional scheduled adorer, the statistically like hood of all the scheduled adorers not showing up is very very low. The attendance tracking feature in AdorationPro can also help you to see exactly how likely each adorer is to show up. If you see 3 adorers with a 100% attendance rate and 1 adorer with an 80% attendance rate, you don't have to worry very much about that hour being filled. 3 adorers nevery miss and the 4th adorer comes quite regularly. If any of the 100% adorers were to miss, it is very very likely one of the other three will be there. In fact, it is probably more likely that one of other three will be there than it will be that the sub for the missing adorer will show up. As such, a full hour of 4 adorers is probably the best protection against empty adoration hours.
