Reducing Messages
Here are some ways to reduce the total number of messages you are sending from AdorationPro.
Reminders
Consider asking adorers if they would like the weekly reminder message. If they do not want the reminder, you can turn it OFF for them. They can also turn it off with the unsubscribe link in each reminder email. You can also look over your adorer list to see if you have adorers who no longer actually attend their time slot. If you have non active adorers, remove them from the schedule so they do not receive reminder messages.
Sub List Size
The sub requests go to the sub list. You might consider reducing the size of your sub list in order to reduce how many messages are sent to subs. When viewing the sub list, you can view how active a sub has been in the previous 12 months. Subs who have not served in 12 months should likely be removed from your sub list. If you send 100 sub requests per month and you remove an unnecessary 30 subs from your list, that is a savings of 3,000 messages per month.
Bulk Sub Request Resending
Instead of resending individual sub requests, you can use the Bulk Sub Request resend button. This button sends a list of ALL open sub requests to the sub list. In this way, you do not have to resend each individual open sub request.
Sub Log on Home Page
On the bottom of the home page of AdorationPro is a button which can take subs to view the sub log. You could send a group message in AdorationPro or a message from your personal email program and direct the subs to the Sub Log page. In this way, you might fill multiple open spots with one message. You could even consider making a short list of super subs and sending to them from your personal email. Direct them to the Sub Log button on the homepage of AdorationPro. In this way, you won't use any AdorationPro messages and you can fulfill multiple sub requests at once.
Manual Sub Entries
As the admin, you can enter sub requests (open or filled) into the sub log directly without sending out the sub request message. This would be a great approach if an adorer gives you several future dates for sub requests. By manually adding the requests to the log, you prevent those future dates from being sent all at once. Those future dates can then be accessed from the sub log or by doing a bulk sub request send.
Talk to your Adorers
You might advise adorers that if they share an hour with another adorer to first ask that adorer of about being a sub. In this way, the sub request does not have to be sent out. You could also advise your adorers to let you as the admin know if they have multiple future sub requests to enter. In this way, you could do Manual Sub Entries for the adorer instead of the adorer sending out multiple requests to all subs at once.
Reduce Total Hours Offered
If you were to fill each time slot with two or more adorers, you would have fewer needs for sub requests. You might even consider reducing the total hours you offer adoration in order to have more committed adorers in each slot. With two or more adorers per slot, sub requests are rarely needed. A reduction in hours can also greatly simply the work of the adoration coordinator. You can always add more hours after you fully fill a smaller number of hours.
Be Careful of Too Many Open Spots
Sometimes a program that is running too thin will have many open slots. These slot are often filled with many sub requests being sent. While a couple opens lots is understandable, if you find you have several open slots per day, you might consider reducing the total hours offered in order to more tightly fill the hours you offer.
Non-Active List
You may want to never send to the non-active list. Or, if you do, look over the non-active list and remove anyone who should not be on that list.
