I've heard of a few pastors mention that they do not study who donates what amounts in their parish. They do not want to be tempted to play favorites. However, I think it is helpful to instead see giving as a spiritual gift. Most pastors enjoy listing to good music and then applauding, rewarding, and encouraging those music ministers. In fact, the long term health of the music ministry depends on the pastor's fatherly support and encouragement and direction. Most pastors enjoy attending service projects and supporting and encouraging those parishioners who have a knack for volunteering and organizing. So, when it comes to giving, I would encourage pastors and parish staff to watch and see who donates what amounts. Giving is a spiritual gift just like music, volunteering, helping, organizing, etc. And, like music ministry, everyone is encouraged to sing but only some are gifted and guided enough to lead the music. And, that is okay. Often those leading music need encouragement in order to lead more. And, often a timid parishioner needs to be encouraged to step up and join the music ministry team.
If we look at giving like we do music ministry, we'll see some opportunities for the pastor and parish staff to actually encourage and support giving. The large and regular donors should be patted on the back, thanked, and even encouraged to give more. Some large donors are only giving a portion of what they can give. They are looking for and need their pastor to thank them, encourage them, and ask for more giving. Many parishioners are capable of giving much more and stepping up to significant giving levels, but one one is watching them give or pastoring them. In the same way that an amazing singer may be unnoticed in the pews, many potential large donors are not being noticed. So, I would encourage pastors, parish staff, and development directors to pay attention to the donor rolls. This can be done prayerfully. Ideally through conversation and discernment, a pastor will feel led to deepen his relationship with some donors in order to thank, encourage, and increase their giving. Much like a pastor should know which parishioners are doing well in music, volunteering, serving, and outreach, so he should also know who is giving well. Giving is a spiritual gift like any other. It needs to be noticed, thanked, and fostered.

The first thing you will want to do to grow your adoration program is to sign up for adoration management software like AdorationPro. AdorationPro will free you up to spend more time on promoting adoration. If you are busy chasing subs around and filling empty spots, you won't have time to promote adoration. Promote at Mass Probably the best thing you can do is have your adoration program announced at Mass. Even better would be if the pastor could personally recommend signing up for a time slot either during the homily or before/after Mass. If you already have AdorationPro, you can make iPads and computers available after Mass to allow people to sign up direclty into AdorationPro. You can also promote your link to AdorationPro on flyers or signs for those passing by quickly. By using AdorationPro, new adorers can quickly see what spots are available and sign up directly after into the system. You won't have to spend time converting hand written sign ups into adorers. You might even have volunteers holding the iPads and helping new adorers sign up. Promote the AdorationPro Link Everywhere When you sign up for AdorationPro, you will receive a special website address that is just for your adoration program. You can promote this address in the bulletin, at the end of all staff emails in the signature field, in bulk email announcements, and on flyers around the church. Anywhere anything is promoted, make sure your adoration program is also promoted and include your AdorationPro website address. Use the Kiosk AdorationPro can use an iPad for a kiosk to help regular adorers and visitors sign in. The kiosk will make it easy for visitors to sign up for a permanent hour or become a sub.' Personal Emails & Social Media Gather a few key steakholders in the adoration program and have them all send out personal email invitations. Be sure to use your AdorationPro website address. You can do the same thing with Facebook and other Social Media outlets. Send out messages inviting friends to join. You can also make general status posts about your adoration program. While you may have a long term goal of perpetual adoration, you can easily get started with only a few hours of Adoration per week. The advantage to starting small is that you, as the administrator or coordinator, can slowly work your way into learning everything that goes into running an Adoration program.
There will be many logistics to learn such as exposing the Eucharist and reposing the Eucharist. You will also need to manage sign ups, sign ins, and attendance. By directing everyone to the online sign up, adorers are entered exactly into the system where they need to be. You save yourself the time of converting paper signs ups into sign ups in the system. However, if you prefer, you can still manually enter adorers into AdorationPro. Easy Hour Adjustments In AdorationPro, you can easily adjust how many hours you have Adoration. A simple start might be to begin with 5 hours on Friday such as from 9am-2pm. You can select only these hours to show in AdorationPro which means when you do your above promotion, it will be very easy to fill those 5 available hours. You can even make AdorationPro turn off the sign up button for a given hour once a certain number of adorers sign up. For example, you can set AdorationPro so that after 3 adorers sign up for an hour, the sign up button disappears. This forces adorers to pick another time slot. Under this plan, you only need 15 adorers to fill your 5 hour slots. If you are able to fill these slots quickly, then you can easily add more hours in AdorarationPro and do the above annnouncements and promotions again to fill your new slots. Or, you can run Adoration with only 5 hours a week for a few weeks to study all the moving parts. If you run the program smoothly for 3 weeks with only 5 hours per week, then you will likely run things smoothly for 10 hours per week. So, you could add in more hours such as from 2pm-7pm on Fridays. Or, instead of extending Fridays you could add Thursdays from 9am-2pm. Of course your local schedule of Masses and other activities may dictate which hours work best. The point is to start small and to grow carefully. The success of few hours will signal to the parish that you know what you are doing and that the program is sustainable. Consider Saving Night Hours for Last It probably makes the most sense to fill in the day hours for 5-7 days per week before moving into night hours. With day hours you likely have staff at the church who can help with any problems. You also completely avoid any nighttime security issues. While 24/7 adoration is a wondeful goal, it probably makes sense to expand into the daytime hours first. Again, the beauty of using AdorationPro is that you can easily add these hours and request sign ups. On the Hour vs Overlapping Hour Time Slots for Adoration
Initially it can seem to make sense to have Eucharistic Adoration hours overlap in case someone cannot attend an hour. However, upon closer examination, we can see that the on the hour system actually provides better coverage under various circumstances. Definitions On the Hour system = One hours slots that begin at 1:00pm, 2:00pm, 3:00pm, etc. On the Half Hour system = One hours slots that begin at 1:00pm, 1:30pm, 2:00pm, 2:30pm, etc. At first it seems overlapping provides extra protection against a missed hour...but let's look at some scenarios. 168 Adorers Under the on the hour system, you can technically have perpetual adoration with only 168 adorers. While this isn't recommended, it is possible. Under the on the half hour system, 168 adorers will only fill 1/2 of the time slots and thus make perpetual adoration not possible. If you are waiting to fill all of your slots before you begin, you will need 2x as many adorers. 336 adorers Under the on the hour system, there would be two adorers per slot. Under the on the half hour system, there would be one adorer per slot and two adorers in the chapel at all times. Statistically speaking, the coverage is the exact same. If one of the adorers is not present, a backup should already be in the chapel. The backup depth is equal to 1 under both systems. But, if you are waiting for two adorers per slot, you cannot begin perpetual adoration yet under the half hour system. You need 672 adorers to do so. 504 Adorers With 504 adorers, the on the hour system will have three adorers per slot. If one adorer cannot attend, there are two backup adorers. With 504 adorers you can have an incredibly reliable perpetual adoration program if you use the on the hour system. Under the on the half hour system, 504 adorers will result in some slots with two adorers and some slots with one adorer. Depending on how the adorers sign up, the backup depth may only be one, whereas in the on the hour system, the backup depth is always two. 504 adorers does not provide the same statistical backup coverage on the half hour system as it would on the on the hour system. The on the hour system is statistically better with 504 adorers. 672 Adorers With 672 adorers, the on the hour system will have 4 adorers per slot. The on the half hour system will have 2 adorers per slot and will have 4 adorers in the chapel at all times. Statistically speaking, the backup depth is the exact same. What does this mean? If we examine the above 4 scenarios, we see that with 672 adorers and 336 adorers, the systems are the same. But, with 168 adorers or 504 adorers, the on the hour system is more reliable in terms of coverage. Technically, the only time the systems provide the same exact coverage is at 372 and 672. In all other numbers, the on the hour system provides a better statistical likelihood of coverage. For example, with 604 adorers, the on the hour system will have 3 to 4 adorers in the chapel at all times. Under the half hour system, 604 adorers will have 2, 3, or 4 adorers in the chapel at all times. The statistical backup advantage goes to the on the hour system. Confusion & Interruptions with on the every 1/2 hour system The on the the half hour system can also create confusion, which can lead to more missed hours. This will be seen most with subs. The sub may remember 1:00pm when really his time slot was 1:30pm. The sub may come from 1:00pm-2:00pm and think he fulfilled the hour. But, now there is no coverage from 2:00-2:30pm. The coming and going of adorers during the hour can also create confusion. Because most people don't arrive exactly on their time slot, the half hour system will create coming and going throughout the entire hour. In the hour system, any arrival between 1:45pm and 2:15pm can safely be assumed to be an arrival for the 2:00pm slot. But, under the half hour system, a 1:45pm arrival could be early for the 2:00pm slot or late for the 1:30pm slot. If there is one adorer waiting for relief, the 1:45pm arrival might be assumed by the current adorer, to be the 2:00pm adorer. But, if it is the 1:30pm adorer, there may be trouble at 2:30pm. In the event of speaking about hours, writing about hours, or even whispering about hours in the chapel, the half hour system can create confusion. Did she say 2:00pm or 2:30pm? I heard a "two", but wasn't quite sure what else I heard. Under the hour system, a "two" means 2:00pm or possible 2:00am, but it never means 2:30pm or 2:30am. Staying on the hour system is simpler and provides the most peaceful hour slots in the chapel. What about every 15 minute slots? The every 15 minute program, with 672 adorers, provides the same coverage as the half hour and on the hour system with 672 adorers. There will be 4 people in the chapel at all times under all 3 systems. There is no statistical difference between the systems with 672 adorers. But, until you have 672 adorers, the every 15 minute system is less reliable. If you do have 672 adorers, it would be simpler to use an on the hour system and still have 4 people in the hour at all times. Again, there is not statistical backup coverage gain by using the every 15 minute system. The Big Case for 3 per One Hour Slot If you are trying to grow an Adoration program, sticking with 3 adorers per one hour slot provides a wonderful balance between backup coverage and growth. The half hour and every 15 minute systems cannot consistently accommodate three adorers at all times. To accommodate 3 adorers at all times, the other systems require many more adorers. So, in order to achieve both coverage and growth into new hours, 3 adorers per slot provides the best of the two worlds of growth and protection. In all cases, the on the hour system provides the base case for growth. In AdorationPro, you can limit the number of committed adorers per slot. While you can set this to any number, including unlimited, 3 adorers per slot will help you to grow your program the fastest while providing incredible coverage protection. You could also opt for two adorers per slot if you wish to emphasize growth and take a little more risk with coverage. |
