10 Common Adoration Program Mistakes

Mistake #1 - Too Many Hours and Too Few Adorers
This is by far the #1 mistake we see. Often programs start with a lot of zeal and offer 24/7 adoration. But, when it comes to sign ups, they don't get anywhere near the 336 adorers need for strong coverage. It is much better to begin with fewer hours and obtain two committed adorers per time slot.

Mistake #2 - Empty Time Slots
A mistake stemming from #1, is running the program week in and week out with empty slots. Coordinators tend to try to fill empty time slots with a firestorm of sub requests. This emergency situation repeats itself each week, leading to coordinator fatigue. It is better to trim back the hours to that there are no empty slots. You can always add more hours as you gain two or more committed adorer per time slot. AdorationPro has a great coming soon feature, which helps secure adorer before a slot is made active.

Mistake #3 - Overnight Hours Too Soon
These first three mistake are all connected. We see many programs take on overnight hours with too few adorers and too soon the program. There is a lot to learn when launching an adoration program. Overnight hours include additional challenges of security, sign in codes, and no nearby staff or coordinators. Unless you have two committed adorers per time slot, we do not recommend overnight hours. Often by just eliminating 12am to 5am, programs can relieve a lot of unnecessary stress.

Mistake #4 - Not Using Software
Trying to run an adoration program with personal emails, spreadsheets, and paper sign ins can get confusing quickly. Fortunately, AdorationPro can handle reminders, sub requests, bulk messaging, text messaging, and more.

Mistake #5 - No Digital Attendance Tracking
Without digital records of attendance, it is very difficult to see who is not keeping their commitments. It is also hard to see who is regularly requesting subs. AdorationPro tracks attendance, tracks sub requests, and tracks sub fulfillments.

Mistake #6 - Too Many Sub Requests from Some Adorers
Sometimes adorers sign up for an hour and perhaps were not quite ready to make the commitment. The result is frequent sub requests. With no ability to track this, you can easily overlook a weak spot in your coverage. We've found that often 3 adorers make up 50% of all sub requests. The best solution in these cases is to ask the adorer to remove themselves from a weekly commitment. They are overwhelming the subs. Without tracking software like AdorationPro, it is difficult to see these kinds of over uses.

Mistake #7 - Confusing Schedule Times
A common mistake is to offer adoration at confusing times such as
  • Mondays - 8:30am-4:30pm
  • Tuesdays - 8:0am-5:30pm
  • Fridays - 7:00am-5:00pm
Usually schedules like the above come about from other activities going on in the church. However, the above schedule is very hard to remember, especially for an occasional visitor. A simplified version of the above schedule that is easy to remember would be:
  • Monday: 9:00am-4:00pm
  • Tuesdays: 9:00am-4:00pm
  • Wednesday 9:00am-4:00pm
The modified schedule is consistent. It is the same time every day and all the hours start and begin on the hour.

Mistake #8 - Back and Forth Sub Requests
Without a dedicated software program like AdorationPro, sub requests often look like this.
  1. Sub sends a message to an admin
  2. Admin sends a message manually to many adorers and subs.
  3. Subs trickle in their responses to the admin or to a group message of everyone.
  4. Multiple people accept the request.
  5. The admin must choose just one sub.
  6. The admin must then message everyone again to signal the request has been filled.
  7. The result is everyone gets 10 messages and most people are confused.

With AdorationPro, once the sub request is accepted, any other sub who clicks the request link will be shown that the request is filled. There is no back and forth needed between everyone. The adorer and the sub receive confirmations. Everyone else is freed from seeing the communications. This helps prevent sub fatigue.
